How AI document processing works
Capture. Documents arrive by email, are uploaded to SharePoint or scanned.
Extract. An AI model reads the fields you need, such as supplier, date, reference, totals, VAT and line items, using Azure AI Document Intelligence or AI Builder.
Check. The data is validated against your rules: does the purchase order exist, do the totals add up, is the supplier known? Anything uncertain goes to a person.
Route. Power Automate sends the document to the right approver in Teams or Outlook.
Update and file. Approved data goes into your accounting, CRM or ERP system through its connector or API, and the original is filed in SharePoint with the right details attached.

Example: supplier invoices
Supplier invoices arrive in a shared mailbox. Each one is read, matched to its purchase order and sent to the budget holder in Teams. Once approved, the details go to the accounts system and the PDF is filed in SharePoint. The finance team only sees invoices that do not match.

Is this intelligent document processing?
Yes. Intelligent document processing is the industry term for AI that reads documents and extracts structured data. We build it with Microsoft tools rather than selling separate software.
How is AI data extraction different from OCR?
OCR turns an image into text. AI data extraction understands the layout, finds the fields you need, such as the total or the invoice number, and tells you how confident it is.
How accurate is it?
It depends on the documents. Clean, typed PDFs work well. Poor scans and handwriting are harder. We test on your own documents first and send anything uncertain to a person.
Which systems can it update?
Most accounting, CRM and ERP systems that offer a connector or API, plus SharePoint and Excel. We confirm this for your systems before building.
Where is our data processed?
In your Microsoft 365 and Azure environment, in the region you choose where the service is available.
What does it cost?
