Free business automation and AI calculators

Before you spend money on automation, an assistant, or a Microsoft 365 tidy-up, it helps to see where the time is actually going. These tools use your numbers. They are not industry averages, and they are not a Ventric price.

The hours are usually hiding in ordinary work

Most firms can describe the annoying tasks. Fewer can say what they cost. The useful number is rarely a new platform. It is the hour, multiplied by the people who touch the same job.

We keep seeing the same shapes: customer enquiries in a shared inbox, details typed from a form into a second system, a report rebuilt from a spreadsheet, and a new starter chased around by email. Put a figure on one of those before you pick a tool.

A worked example, not a client story

Ten people spending four hours a week on the same spreadsheet is 2,000 hours a year, at 50 working weeks. At £35 an hour that is £70,000 before you count the mistakes. That is arithmetic. Whether those hours can actually come off the desk depends on how many exceptions the spreadsheet is hiding.

Questions we get before anyone books

How accurate are these calculators?

They use the numbers you type. They are there to show the size of a task and to start a business case. They are not a quote, and they do not replace looking at the actual process, the exceptions and who owns it.

Do I need to leave my contact details?

No. You can use every tool and see the result without telling us who you are. An email is only asked for if you want the PDF, and that is so we can follow up about that result.

Are my results stored?

The result stays in your browser until you ask for a PDF. The report is generated then, and it is not stored on the website. If you leave an email, we receive it with the answers so we can follow up about that result. We do not add you to a marketing list.

Can you do the work the calculator points at?

Yes, when it is worth doing. We automate repetitive work, put Microsoft 365 in order, and set up assistants that answer from your own material. We scope it after a look, and we will say if a better spreadsheet is the honest answer.

Is the migration figure a quote?

No. It is an early budgeting guide from the answers: what is moving, how many people, and a few details that change the job. A fee follows a look at mailbox sizes, identity, coexistence and the condition of the source environment.

Which tool should I open first?

If you already know the task, start with hours and cost. If you have several candidates, rank them. If the question is a Microsoft 365 move, use the migration calculator. The readiness questions are for when someone has said 'we should use AI' and nobody has checked whether the filing and the process can support it.
