Employee onboarding automation, with an AI assistant for new starters
A new starter's first fortnight depends too much on who happens to be around. Accounts arrive late, the laptop is not ready, and the same questions go to whoever sits nearest. We automate the onboarding process in Microsoft 365 and add an AI onboarding assistant in Teams, so every new starter gets the same complete start.
We reply within one working day. No obligation.
Where onboarding goes wrong
IT hears about the new starter the week they arrive
- 01The checklist lives in one manager's head or an old email
- 02New starters interrupt colleagues for every 'where is' and 'how do I'
- 03Policies are sent as attachments and never confirmed as read
- 04Leavers keep access longer than they should
What we automate
Before day one
One new-starter form triggers tasks for IT, the manager and whoever orders equipment, with reminders until each is done. Automated onboarding means nothing relies on someone remembering.
Day one
A welcome message in Teams, a personal checklist and a link to your onboarding portal.
The first weeks
Scheduled nudges for policy reading, training and manager check-ins, with confirmations recorded.
An AI onboarding assistant
A Copilot Studio agent in Teams that answers new starters' questions from your handbook, policies and IT guides, and points them to the right person when it cannot.
Offboarding, the same way
A leaver form that triggers access removal, equipment return and handover tasks.
Next step
We reply within one working day. No obligation.
An onboarding portal in SharePoint
One page with the handbook, key contacts, team structure, IT guides and first-week plan. It is the place the assistant answers from, and the place new starters go when they want to read rather than ask.
How we work
- 01
Understand
We map how onboarding happens today, who does what and where it slips.
- 02
Assess
We agree the standard checklist per role and gather the content the assistant will use.
- 03
Improve
We build the onboarding process automation, the portal and the assistant, and test with a recent starter.
- 04
Support
We review after the first few new starters and adjust.
What this is not
This is not a replacement for an HR system. If you have one, we connect to it where it offers a connector or API. If you do not, a simple Microsoft Form starts the process.
FAQs
Common questions
Do we need an HR system?
No. Many SMEs start the process from a Microsoft Form. If you have an HR system with a connector or API, we can trigger onboarding from it instead.
What can the AI onboarding assistant answer?
Anything covered by the content you give it: policies, the handbook, IT set-up guides, who to ask for what. If the answer is not in your content, it says so and points to a person.
Is AI onboarding only for HR?
No. IT, office managers and line managers all benefit, because the tasks that usually fall through the gaps between them are tracked in one place.
Can it set up accounts automatically?
It can create the requests and tasks, and with the right approvals and your IT provider's agreement, parts of account set-up in Microsoft 365 can be automated too.
Should we buy employee onboarding software instead?
If you need a full HR platform, possibly. If you already have Microsoft 365 and want automated onboarding without another subscription, this route often fits better. We will tell you which applies.
What does it cost?
We scope it after the first conversation, based on how many roles and systems are involved. We do not publish prices.
