Automate · Reduce manual work

AI workflow automation for the work rules cannot handle

Some admin is too messy for a simple rule. Emails that could be about anything, attachments in five formats, requests that need reading before anyone knows where they go. Our AI automation services add an AI step to those workflows: it reads, sorts or drafts, then Power Automate does the rest. A person approves anything that matters.

Where rules-based automation runs out

Someone has to read every email in a shared inbox before it can go anywhere

  1. 01Details are copied from free-text emails or PDFs into the CRM or a spreadsheet
  2. 02First drafts of replies, summaries and reports are written from scratch every time
  3. 03Requests arrive through email, Teams and forms with no consistent format

How an AI-powered workflow runs

Trigger. An email arrives, a file is saved, a form is submitted or a Teams message is posted.

  1. 01Read and sort. An AI model works out what it is, pulls out the key details and scores how confident it is.
  2. 02Act. Power Automate updates the CRM or SharePoint list, creates the task or drafts the reply.
  3. 03Check. Anything low-confidence or high-stakes goes to a person to approve or correct.
  4. 04Log. Every step is recorded, so you can see what the AI did and why.

AI or rules? We pick the right one

If the steps are predictable, a standard workflow is cheaper and more reliable, and that is our Process Automation service. We only add AI where it earns its place: where something has to be read, understood or written before the next step can happen.

Examples of AI business process automation

  • Shared inbox triage

Incoming emails sorted into enquiries, supplier messages, complaints and admin, with key details logged and the right person notified.

  • Supplier documents

Invoices, statements and queries recognised and routed to the right place, with extracted details ready for checking.

  • Meeting notes to actions

Actions pulled from meeting notes into Planner with owners and due dates, and a summary sent to attendees.

  • Weekly summaries

A plain-English summary drafted from a SharePoint list or CRM data and sent to managers for a quick check.

What you get

Help choosing the use case, and a check that your data is good enough for AI to work with

  1. 01A workflow design that shows exactly where a person approves
  2. 02The build, on Power Automate with Azure OpenAI, AI Builder or Copilot Studio as the job needs
  3. 03Testing on your own real examples before go-live
  4. 04Monitoring and a simple way to correct mistakes
  5. 05Handover documentation

Keeping AI inside your controls

Where we can, the workflow runs in your own Microsoft 365 and Azure environment, access follows your existing permissions, and people approve anything that matters. For the detail on data handling, see Azure OpenAI for SMEs.

FAQs

Common questions

What is the difference between AI automation and ordinary workflow automation?

Ordinary workflow automation follows fixed rules. AI automation adds a step that can read, understand or write unstructured content, such as an email or a PDF, before the rules take over.

Is AI accurate enough to trust?

Not always, which is why we design for it. Each AI step has a confidence threshold, uncertain items go to a person, and we test on your real examples before anything goes live.

Which AI models do you use?

Mostly OpenAI models through Azure OpenAI Service, plus AI Builder in Power Automate and Copilot Studio, depending on the task and where your data needs to stay.

Is AI automation for small business worth it?

If a task happens often enough and currently needs someone to read and re-key information, usually yes. If it happens a few times a month, probably not, and we will say so.

Is our data used to train AI models?

With Azure OpenAI Service, Microsoft states that your prompts and outputs are not used to train OpenAI's models. We explain the data handling for your specific setup before building.

Do you build AI agents as well?

Yes. If you need an assistant people talk to, rather than a workflow running in the background, see our AI agents and Copilot Studio agents.

What does it cost?

We scope the build after the first conversation. AI steps also have usage-based running costs, which we estimate for you up front. We do not publish prices.
