Leads scattered across inboxes, spreadsheets and memory
Website enquiries sit in one mailbox, phone enquiries on a notepad and referrals in someone's head.
- 01The spreadsheet was a good idea until three people started keeping their own versions.
- 02Nobody can say how many live leads there are, or what they are worth.
- 03Marketing is judged on clicks and form fills, because nobody can connect a lead to a sale.
- 04Sales lead management breaks down quietly. Nobody decides to ignore a lead; it just never reaches the top of anyone's list.
What a lead management system does for you
Captures every lead automatically
Website forms, enquiry emails, chat and the AI Front Desk feed straight in. Phone and walk-in leads take seconds to add.
Records where each lead came from
Each lead carries its source: the search, campaign, referral or channel that produced it. That becomes your lead tracking system for marketing spend.
Uses stages that match how you sell
New, contacted, qualified, quoted, won, lost, or whatever fits your business. We agree the stages with you and keep them few.
Gives every lead an owner and a next step
No lead sits without a named person and a dated next action, so nothing drifts.
Reminds people to follow up
Follow-up reminders arrive in Outlook or Teams when a next step is due or a lead has gone quiet.
Reports what converts
Simple reporting shows leads by source, time to first reply, win rate and pipeline value, so decisions are based on what actually produced work. (link: /services/convert)
Built in your CRM, or in Microsoft 365
If you already have a CRM, we set it up properly for lead management so the team actually uses it. If you do not, we will recommend the lightest option that does the job. For smaller teams that is often a pipeline built in Microsoft 365, which you already pay for. When a dedicated lead management CRM is justified, we will help you choose and set one up through CRM and sales automation.
And if a well-kept spreadsheet is genuinely enough for your volume, we will tell you that too.
The lead management process matters as much as the system
Software alone does not fix lead handling. We agree the rules with you: who owns which leads, how quickly new leads get a reply, when a lead is closed as lost and why. The system then makes those rules easy to follow and easy to check.
Where it fits
Attract generates leads through lead-led SEO and cost-per-lead paid search. Your lead management system shows which of those leads became customers, so Attract budgets go where the work comes from. When a lead is won, Automate can take the handover into delivery and invoicing.

How we build it
- 01
Understand
We look at how leads arrive, who handles them and what happens to them now.
- 02
Assess
We agree stages, owners and what you need to report on, and choose where the system should live.
- 03
Improve
We build it, move live leads across and connect your enquiry channels.
- 04
Support
We review it with you once the team has used it for real, and adjust. Ongoing support is available.
What it looks like in practice
Illustrative example, not a client result: a small accountancy practice gets enquiries from its website, referrals and a directory listing. Each partner kept their own list. With one lead management system, every new enquiry has an owner within the day, the Monday meeting uses one pipeline view, and the practice can see which source brings in the clients who stay.
FAQs
Common questions
What is a lead management system?
A single place where every lead is captured, given an owner and tracked through clear stages until it is won or lost. It tells you what is in the pipeline, what needs doing next and which sources produce customers.
Is lead management software the same as a CRM?
Overlapping, not identical. Most CRMs include lead management, but many businesses buy a CRM and never set up the lead side properly. We focus on making lead handling work, in whatever system suits you.
Do we need to buy new software?
Not necessarily. We often build in the CRM you already have or in Microsoft 365. If you need something new, we explain why before you spend anything.
Can it show which marketing produced which customers?
Yes, that is one of the main reasons to have one. Each lead carries its source, so you can report leads, wins and value by channel or campaign.
What if the team will not use it?
We keep it simple: few stages, few required fields and capture that happens automatically. We also agree the rules with the people who will use it, which makes a big difference.
How much does it cost?
It depends on where it is built, how many channels feed it and what you need to report on. We scope it after the consultation and send a clear proposal before any work starts.
