Professional services do not have a software problem. They have a repeated-admin problem.
A fee-earning week is full of the same chores: opening a matter, chasing a document, typing the update into a second system, and answering "where are we with this?" from a shared inbox. None of those feel big. Together they are the leak.
A normal Tuesday
The post arrives as PDFs. Someone renames them and drops them in a folder that is not the matter. A client email sits with three people copied, so each assumes another will reply. The time recording happens on Friday from memory. That is not a case for a new practice system on day one. It is a case for counting one of those loops.

Three ways this goes wrong
- Automating the time recording before anyone agrees what a billable unit is.
- Giving every fee earner a Copilot licence and calling that adoption.
- Building a client portal while the shared inbox still has no owner.
When the number is real, the work is usually process automation on the Microsoft 365 you already pay for, or a shared mailbox assistant so the client chase has a name on it.
