What an AI agent actually is

An AI agent is more than a chat box. It has five parts, and it only works when all five are in place:

  1. 01A channel, where people reach it: website chat, email, WhatsApp or Microsoft Teams.
  2. 02A language model, usually Copilot Studio or Azure OpenAI, to understand and write.
  3. 03Your knowledge: approved content in SharePoint, your FAQs, your CRM records.
  4. 04A workflow, usually Power Automate, so it can do things such as log an enquiry, book a slot or update a record.
  5. 05A person to hand over to, with clear rules for when that happens.
  6. 06Without your knowledge and a workflow, a model can only chat. With them, it can take real work off your team.

AI agents for your customers and enquiries

These sit in Convert, where enquiries become customers.

AI agents for your team

These sit in Automate, where repetitive internal work is reduced.

AI IT helpdesk: answers staff IT questions and logs issues.

AI workflow automation: AI steps inside everyday processes.

Copilot Studio agents: custom agents inside Microsoft 365 and Teams.

AI document processing: reads documents and pulls out the data.

AI employee onboarding: guides new starters through their first weeks.

Custom AI agents are possible too. A Tender Assistant that helps a team find past answers and draft tender responses is one example of what we can build.

Which AI agent should you build first?

Start with the job that is repetitive, happens often, follows clear rules and has an obvious point where a person should take over. For most small businesses that is the first reply to new enquiries or the questions customers ask every day. We will help you pick the one with the clearest payback and build from there.

Why work with Ventric as your AI agent development company

Marketing agencies tend to sell generic chatbots. IT firms tend to sell licences. We build business AI agents that sit inside a real customer journey: Attract brings the enquiries, Convert answers and follows them up, Automate handles the work that follows. We are an integrator, not a licence reseller, and we build on the Microsoft 365 you already have.

Your data, your rules

Agents built on Microsoft 365 work with the permissions you already manage, so an agent only sees what it should. We agree what each agent can answer, what it must never do and when it hands over, test it with real examples before launch, and review conversations with you afterwards.

If your files and permissions have grown without a plan, an agent will expose it quickly. The free Microsoft 365 assessment is a sensible first step.

How we build AI agents

  1. 01

    Understand

We look at the work you want to hand over and how it is done today.

  2. 02

    Assess

We check your data, permissions and systems, and agree what the agent will and will not do.

  3. 03

    Improve

We build the agent, test it with real examples and launch it in stages.

  4. 04

    Support

We review its conversations with you, tune it and extend it. Ongoing AI agent services are available if you want them.

FAQs

Common questions

What is the difference between a chatbot and an AI agent?

A chatbot answers questions. An AI agent can also act: it can log an enquiry, book an appointment, update a record or hand over to the right person, because it is connected to your systems and follows your rules.

Do we need ChatGPT Enterprise?

Usually not. For businesses already on Microsoft 365, Copilot Studio or Azure OpenAI tends to be a better fit because it works with your existing accounts, permissions and data. Our article on Azure OpenAI versus ChatGPT for business explains the trade-offs.

Will AI agents replace our staff?

They replace tasks, not people. Agents take on repetitive triage, answering and drafting, and your team keeps the decisions, the judgement calls and the relationships.

Where does our data go?

We design agents to use Microsoft services under your existing Microsoft agreement wherever possible, and we document what data each agent uses and who can see it.

Are AI agents worth it for a small business?

Often, yes, because small teams feel repetitive work the most. AI agents for small business work best on one clear job with a clear handover. If the job is rare or needs judgement every time, we will say it is not worth automating.

How much does an AI agent cost?

It depends on the channels, systems and rules involved. We scope each agent after the consultation and give you a clear proposal before any work starts.
